The right person approves the trip with the business reason, the total estimated cost and any policy exceptions in front of them. The approval is tied to that quote: if the price moves beyond what you have agreed, we come back for a fresh approval rather than booking anyway.

Every trip coded the way you report

Each trip is allocated to the right legal entity, department, project and client, and marked billable or not. Project travel stops disappearing into a general cost line, and recharging clients becomes a list rather than a hunt.

Refunds and airline credits that don’t quietly expire

  • A register of refundable bookings and outstanding refund claims
  • Unused airline credits recorded with the traveller, airline and expiry date
  • Credits checked and used before a new ticket is bought, where the fare rules allow

A monthly spend and reconciliation pack

Each month you receive bookings matched to invoices, payments and credit notes, costs by department and project, refunds and credits outstanding, and a short list of anything unresolved with who owns it. It is prepared in the format your finance team works with.

Your account manager walks you through the month and suggests a small number of practical changes — a hotel to agree a rate with, a route booked too late, an approval step that slows things down — and records what was agreed and what happened.
